Microsoft Outlook includes an SMS message feature that allows you to send text messages in the same way you would normally send or forward an email or calendar appointment to a contact.
Outlook for WindowsIn Outlook, select “File†> “Options“. Select “Mail†in the left pane. In the “Compose messages†section, change the “Compose messages in this format:†to “HTML“, “Rich Text“, or “Plain Text†as desired.
A plain text email is as it sounds: It's a simple email message that only includes text. There are no images or graphics and no formatting. You'll also notice all the links are written out. However, there are nicer ways to use plain text emails, such as in simple, one-to-one correspondence.
Need to email to some addresses in plain text?
- Open the Contact 'card' for the list's address (or person), then double-click on the email address to open the Email Properties window.
- Select Send Plain Text Only from the Internet Format drop-down list, then click OK.
- Save the contact details.
Let's start by taking a quick look at the differences between plain text emails and HTML emails. The simplest explanation is that an HTML will contain images and colors while a plain text email contains no images, no graphics, and no formatting.
Formatting You CAN Use in a Plain Text Document:
- Any basic keyboard character — letter, number, symbol, or punctuation mark — in upper or lower case.
- Line breaks to create spacing (hit the Enter key two or more times).
- ALL CAPS FOR EMPHASIS.
- Rows of one character to create a "line" (===== or ~~~~~)
Press the Ctrl + C hotkey to copy the email to the Windows clipboard. Next, click the Cortana button on the Windows 10 taskbar to open that app. Enter 'Notepad' in the search box, and then select to open Notepad. Press the Ctrl + V hotkey to paste the email into Notepad.
You can save that notepad document, and then attach it to an email. Or, while the document is open, you can click “Ctrl+a†and the whole document will highlight. Then right click and copy, then you can paste that into the body of an email.
- Open the email you wish to convert to PDF. Find and click the Print icon.
- Change the “Destination†of the document from the dialogue menu.
- Select “Save as PDF†from the destination menu.
- Your computer file directories are now visible in the “Save As†dialogue box.
Save a message as a file on your computer or in the cloud
- Double-click to open the message you want to save, and on the File menu, click Save As.
- In the Save as dialog box, in the Folder pane, choose a folder, and then the location in that selected folder where you want to save the file.
Use Outlook to send e-mail to a cell phone
- Create a new e-mail message.
- In the To text box, enter the cell phone number using the following syntax: .
- Create a message of 160 characters or less. Or attach a . jpg file, if the cell phone is also a camera phone.
- Send the e-mail.
Read email messages in plain text
- Click the File tab.
- Click Options.
- Click Trust Center, and then click Trust Center Settings.
- Click Email Security.
- Under Read as Plain Text, select the Read all standard mail in plain text check box.
If you want to export multiple selected emails as a PST file in Outlook, you can easily get it done with the Archive feature.
- In the Mail view, select multiple emails you will export, right click and select Move > Copy to Folder from the context menu.
- In the Copy Items dialog box, click the New button.
Back up your email
- Select File > Open & Export > Import/Export.
- Select Export to a file, and then select Next.
- Select Outlook Data File (.
- Select the mail folder you want to back up and select Next.
- Choose a location and name for your backup file, and then select Finish.
Change your default text style
- On your computer, open Gmail.
- In the top right, click Settings. See all settings.
- Scroll down to the "Default text style" section.
- Change the text in the box to be the style you want for your emails.
- At the bottom of the page, click Save Changes.
Plain Text mode represents only characters of readable material but excludes any graphical information and other objects (images, etc.). Plain Text is regular text, with no formatting options such as bold, italics, underlines, or special layout options.
Here's how to use TextMagic to send text messages through Gmail:
- Open Gmail and click on Compose from the Main Menu.
- In the To field, enter the recipient's 10-digit cell phone number (no country code) followed by “@†and the SMS gateway address textmagic.com.
- Type your message in the text body and hit Send.
To color code Gmail, click on the three dots next to the category and hover over the arrow next to “Label color.†10. Choose the color for your label.
Plain text (. txt) is a type of digital file that is free of computer tags, special formatting, and code. This is the only file type recognized by the Lexile Analyzer. Note: Copying and pasting or uploading text and text files other than plain text may include computer tags, special formatting, and code.
Open the email, click the down arrow next to the reply button, then select View message source. In your web browser, run a Find (usually Command + F on macOS, or Ctrl + F on Windows) then search for the term content-type: text/plain to locate the plain text version.
GroupMail allows senders to send both an HTML and plain-text version of their email at the same time. This is done using a format called Multi-Part MIME. When a multi-part MIME email (read: an email that includes both an HTML and plain-text part) is created in GroupMail, they will be sent out together as one message.
Convert HTML file to a text file (preserving HTML code and text).
Select the file and click the Open button.
- Click the File tab again, then click the Save as option.
- In the Save as type drop-down list, select the Plain Text (*. txt) option.
- Click the Save button to save as a text document.
With Copy Plain Text, you simply select text as you normally, then do any of the following to copy it to the clipboard, formatting-free: Click Edit, Copy as Plain Text. Right-click the selection and choose Copy as Plain Text. Press Ctrl-Shift-C.
To send an email in plain text in Gmail, compose a message as you normally would. At the bottom of the compose window, click the three-dot menu and then click Plain text mode. This setting acts as a toggle. To de-activate plain-text mode, re-select the menu option.
Most emails are encrypted during transmission, but they are stored in clear text, making them readable by third parties such as email providers.
