To mark a mail message as private, either right-click the message in the list of Inbox items and choose Options or, from an open message, click Options, then use the Sensitivity drop-down list at the top of the Options dialog box to mark the item Private.
Microsoft Outlook has the ability to set up customized views for items such as email located in folders. Sometimes, particularily after a large import from another account such as Gmail or an IMAP-based account, the custom view settings hide the emails from view.
You can grant a delegate permission to read items in your folders or to read, create, change, and delete items.
To see if a message indeed got hidden because of its sensitivity level being set to Private, you can select the message and press ALT+ENTER. This will bring up the properties window of that message. At the bottom right, you'll find the sensitivity level. This can be either Normal, Personal, Private or Confidential.
Private - Use this option to prevent the message from being edited (text changes, copy, paste, and so on) after you send it. Confidential messages can be edited by the recipient. Marking the message Confidential is only to suggest how the recipient should handle the contents of the message.
Typically, emails go missing when an email is accidentally deleted. It can also happen if the email system incorrectly flags an incoming message as spam, which would mean the message never reached your inbox. Less frequently, an email can go missing if it's archived and you don't realize it.
Sensitivity settings enable you to restrict what someone else can do to your message after you send it, and they let you set who that someone else can be — even Oprah. Most messages you send will have Normal sensitivity, so that's what Outlook uses if you don't say otherwise.

Click File > Account Settings >
Delegate Access. Click Add, then type or select, the
delegate's name, and then click Add.
To respond to meeting requests
- Open the other person's Inbox if his or her meeting requests are not sent to you directly.
- Open the meeting request.
- Click Accept, Tentative, or Decline.
Login to Outlook Web App and right-click on your Mailbox name in the left-hand navigation panel (Ctrl+click on a Mac). Choose Open Other User's Inbox. Click on Name and lookup the delegating account. Double-click on it so it shows in the Select Field and click OK.
Marking a meeting or appointment private can hide some of the meeting details from others in your organization. Important: Even if you share and grant Read permissions to your calendar to another user, they will not be able to see the details of your private appointments.
- On the Tools menu, select Accounts.
- Select the Exchange account that you want to change, select Advanced, and then select the Delegates tab.
- Under Open these additional mailboxes, select the person for whom you want to stop being a delegate, and then select Remove .
There are two types of rules in Outlook—server-based and client-only.
- Server-based rules. When you're using a Microsoft Exchange Server account, some rules are server-based.
- Client-only rules. Client-only rules are rules that run only on your computer.

Delegates should be used when a person will need to receive/process meeting requests on someone's behalf. Note Regarding Multiple Delegates Handling Meeting Related Messages - It is not recommend to have more than one Delegate.
An Editor can create, modify, delete, and read folder items. A Publishing Author can create and read folder items and create subfolders but can modify and delete only folder items that he or she creates, not items created by other users.

To access a delegated email account
- Log in to your Google Mail account.
- Click your account photo or the circle with your first initial in it (located in the upper-right corner of the page).
- From the drop-down menu, select the desired delegated account. A new window or tab will open displaying the delegated account.
On the Mail tab, select Manage mailbox permissions. Next to Send on behalf, select Edit. Select Add permissions, then choose the name of the user or users that you want to allow to send email on behalf of this mailbox. Select Save.
The Email must be UNREADThe original message must still be unread in order for Recall to work. If the message has been “read”, then the recipient will still receive a request that you want to Recall the message, but it won't occur automatically.
Enable Office 365 Mailbox Sharing
- Sign in to Office 365 Admin Center.
- Select Users > Active Users.
- Select the user that requires delegate access.
- Expand “Mail Settings.”
- Find “Mailbox Permissions” and select Edit.
- Add or modify users as required. Once complete, select Save.
A delegate is a person selected to represent a group of people in some political assembly of the United States. There are various types of delegates elected to different political bodies.
Create your signature and choose when Outlook adds a signature to your messages
- Open a new email message.
- On the Message menu, select Signature > Signatures.
- Under Select signature to edit, choose New, and in the New Signature dialog box, type a name for the signature.
- Under Edit signature, compose your signature.
Select User or Common Area Phone, then specify the phone user or common area phone you want to assign as your delegate, then click Send Invite. Note: The delegate will receive a notification to accept the delegation request when they view their phone settings in the web portal.
A Task is.. a task. It's an Outlook item that is stored in a Tasks Folder. A To-Do is any Outlook item that is flagged for follow-up, usually flagged email, as well as all of the tasks in the Task folders in the profile.
